Overview

This policy explains how TRLAI, operating the TRL AI service, handles personal information.

Information we collect

• Account: name, work email, phone, organisation, role and profile details.
• Authentication: password hash, login activity, method, session information and multi-factor status where supported.
• Camera and site: names, model, stream protocol, network configuration, credential references, health status and deployment information supplied through the service.
• Camera and event: selected images, cropped frames, short clips, classifications, timestamps, confidence information, annotations and acknowledgement history where generated by the configured service.
• Alerts: recipient identifiers and contact details, delivery and acknowledgement status, and escalation records.
• Billing: plan, invoice, transaction status, tax information and payment-provider references; complete card details are not required where handled by an authorised provider.
• Technical: IP address, browser, device, operating system, diagnostics, security events, logs and usage information.
• Support and recruitment: messages, attachments, call notes, authorised access records, resumes, qualifications, employment history, assessments and communications.

How information is used

We use information to create and secure accounts, provide camera monitoring and event processing, generate alerts, verify compatibility, maintain camera health, support customers, process subscriptions, prevent fraud and abuse, maintain audit records, investigate incidents, improve reliability, comply with law, process recruitment and communicate service or policy changes.

Third parties

Limited information may be processed by hosting, email, communications, authentication, analytics, payment and customer-selected integration providers. Third-party services operate under their own terms and privacy practices.

Security and encryption

Production website traffic is encrypted in transit using HTTPS/TLS. The current application also uses secure password hashing, secure HTTP-only sessions, tenant-scoped authorisation, request-origin and CSRF checks, throttling, and protected server-side storage outside the public website directory. The website assistant works entirely inside the visitor's browser: assistant questions are not transmitted to TRL AI or an external AI provider, and no assistant conversation is stored.

TRL AI does not describe the complete service as end-to-end encrypted because authorised service infrastructure must process account, request, alert and configured camera-event data to provide the service. Any deployment-specific encryption-at-rest, key-management or end-to-end-encryption commitment must be confirmed in the applicable Order Form or technical specification.

Data retention, deletion and account closure

TRL AI retains information only as long as required to provide the service, comply with legal obligations, maintain security, resolve disputes and meet legitimate operational requirements. Exact product retention periods are governed by the selected plan or Order Form. No unverified fixed duration is stated here.

Customers may delete supported event content through the platform or submit a verified deletion request. Following termination, access ends, available exports follow the applicable plan, and active data is deleted or anonymised under published or agreed deletion terms. Security, billing, fraud-prevention and legal records may be retained where required, and legal holds may delay deletion. Deletion may be irreversible.

Data location

Customers requiring a specific hosting or data-location commitment must obtain written confirmation in an Order Form. This policy does not publish an unverified hosting or backup region.

Privacy rights and grievance redressal

Subject to applicable law, individuals may request access, correction or completion, erasure, withdrawal of consent, account deletion, grievance redressal and nomination where applicable. TRL AI may verify identity and authority. Where a customer organisation controls the information, the individual may be directed to that organisation.

Children

TRL AI is a business service and is not intended for children to create or operate accounts. Customers monitoring environments involving children are responsible for all lawful authority, notices, permissions and safeguards. TRL AI must not be used to profile, target or make significant decisions about children without appropriate authority and meaningful human oversight.
